Job Description

TITLE: Clinic Receptionist

HOURS PER WEEK: Full Time 36 (MON – THURS 8:30-5:00 and FRI 8:30 to 1:00)

EMPLOYMENT STATUS: Hourly Non-Exempt Employee

BENEFITS:  Set forth in the Employee Handbook

REPORTS TO: Directly: Clinic Manager

EVALUATION: 90 days and annually in January

POSITION SUMMARY: 

The Clinic Receptionist greets and assist patients with the appointment process with checking them in while managing the front desk, answering the phone, making appointments, confirming appointments, assessing and consulting with staff leadership when necessary and opening and closing procedures for the clinic. The Clinic Receptionist does the data entry, charting of patient files, and is fully responsible for the organizational flow of accurate patient charts. The Clinic Receptionist assists the Clinic Manager with advocating on occasion and patient service tasks as needed and directed.

SKILLS & QUALIFICATIONS:

  • Passion and calling for pregnancy center ministry work.
  • Full agreement with Choices Women’s Clinic Mission, Statement of Faith, Statement of Principle, and policies and procedures of the clinic.
  • Professional work experience, in particular in a clinic or pregnancy center setting.
  • Preferably bi-lingual.
  • Dependable, stable, capable of following through on commitments.
  • Ability and confidence to master phone protocols in order to effectively schedule patients, and conversing and making appointments for patients considering abortion.
  • Excellent computer skills and competence in managing computer databases and programs.
  • Proficient charting data skills experience.
  • Multi-Tasking abilities and flexibility during interruptions in a high-volume clinic.
  • Self-Motivated and can work independently.
  • Confident with medical filing systems and charting.
  • Ability to organize and maintain office and desk area.
  • Able to handle stress well and confront a variety of problems throughout the day.
  • Commitment to confidentiality of patients, complying with HIPAA Privacy Protocols.
  • Excellent verbal and written communication skills.
  • People skills including social graces, communication, language, and friendliness.
  • Excellent administrative and organizational skills.
  • Highly professional and maintains office professionalism/best practices at all times.
  • Works well within a team with an understanding of working with the Clinic Director and Nurse Manager to manage appointments.

CLINIC ADMINISTRATOR RESPONSIBILITIES:

Front Desk/Patient Duties

  • Opens and closes the office following daily procedures.
  • Welcome patients and visitors to the clinic as they arrive and follow procedures for checking them in.
  • Primary person to answer phone accordingly to best practices concerning patients making appointments and those considering abortion, consulting proper clinic staff in order to schedule appropriately.
  • Manage and respond to voicemail and messaging systems as well as text messaging for responding and making appointments.
  • Check all platforms for appointment inquiries frequently, updating and communicating daily schedule and maintain appointments on computer appointment calendar.
  • Works with the Clinic Manager and clinic staff to assess needs of appointment scheduling and relaying important information pre-appointment when needed.
  • Confirms all clinic appointments at the end of the day for the following day.
  • Accurate and timely charting all patient files in data base program according to procedures.
  • Keep daily statistics on appointments not kept in data base for month end reconciliation.
  • Maintains reception, waiting and advocate rooms in neat and orderly condition.
  • Makes certain the needs of patients are met as they wait for an advocate or medical staff member.
  • Follow emergency policy and procedures regarding emergency situations, informing Clinic Manager immediately regarding any odd behavior, ill or distraught patients and utilizing an emergency button if needed.
  • Follows all HIPPA laws and procedures based on best practices, maintaining confidentiality of patients.
  • Participates in staff meetings.
  • Assists the Clinic Manager with advocacy as directed in a time of need.
  • Assist the Clinic Manager with projects as directed and needed when time permits.

Public Relations

  • Attend and fully participate in special events of the ministry: Walk (Spring) and Banquet (Fall).

Willingness to consider giving and promoting the ministry initiatives for funding the ministry.

Sonographer

TITLE: Sonographer                                      

HOURS PER WEEK: Part Time or Full Time, Various Hours and Location(s) TBD

EMPLOYMENT STATUS: Hourly Non-Exempt Employee

REPORTS TO:
Nurse Manager

EVALUATION:
90 days and annually in January

POSITION SUMMARY:
The RDMS/Sonographer provides ultrasounds and consultation and is responsible for following the best practices, policies, procedures and protocols of Choices Women’s Clinic.

SKILLS & QUALIFICATIONS:

  • A commitment to Jesus Christ as Lord and Savior with a passion for ministry, women and the life issue.
  • Active member of a Bible-believing church with consistent participation in growth opportunities.
  • Full agreement with Choices Women’s Clinic Mission and Statement of Faith, Statement of Principle, and policies and procedures of the clinic.
  • Holds a current medical license in the state of FL as an RDMS.
  • Graduate of a 2 or 4-year medical program in Imaging.
  • Preferably has clinical experience in OB/GYN sonography and women’s health.
  • Dependable, stable, and capable of following through on commitments.
  • Willingness, ability and confidence to follow medical policies and procedures.
  • Excellent computer skills.

RESPONSIBILITIES:
Patient Care

  • Review of patient file to ensure proper medical forms are correct.
  • Answer any medical questions from patient or their support person when needed.
  • Patient education, pregnancy testing and results, limited ultrasound, and STI and POC testing and results.
  • Educate patient about abortion risks and procedures, fetal development, and importance of STI and POC testing before having an abortion procedure.
  • Provide patient care as the role model for best practices and effective ministry.
  • Knowledgeable about patient resources and referrals, when needed, for quality patient care.
  • Take medical history prior to an ultrasound exam, and chart accordingly.
  • Provide limited diagnostic ultrasound exams to medical standards of care.
  • Follow procedures for timely patient follow-up.
  • Maintain kindness and professionalism at all times when interacting with patients.

Medical Services Operations and Management

  • Work closely with Nurse Manager regarding best practices and implementation of policies and procedures.
  • Review and complete patient files by the end of the day.
  • Ongoing review of patient files including obtaining ultrasound reports and follow-up procedures with patients.
  • Ensure that ultrasound equipment is properly operated and maintained.
  • Maintain relationship and communication, when necessary, with Nurse Manager, Medical Director and Dr. reading scans when necessary.
  • Assist the Nurse Manager, as needed, in the development and implementation of new and relevant medical services.

Emergencies

  • Emergency calls: refer caller to a local hospital emergency room, her own physician and/or advise to call 911.
  • Medical emergency on-site: follow procedures for medical emergencies.

Continuing Education

  • Comply with state and professional licensing and continuing education requirements.
  • Bi-annual renewal of BLS CPR Certification.
  • Ongoing self-education of current abortion procedures and risks.
  • Education webinars or training as recommended by the Nurse Manager and Executive Director.

Public Relations
