TITLE: Clinic Manager
HOURS PER WEEK: Full Time Salaried Position: Monday through Friday with occasional hours on evenings and weekends. Requiring more than 40 hours per week from time to time.
LOCATION: All locations (will be assigned to Downtown, UCF or Kissimmee Clinic)
EMPLOYMENT STATUS: Salary – Exempt Employee

REPORTS TO: Senior Clinic Manager
EVALUATION: 90 days and annually in January

POSITION SUMMARY:
The Clinic Manager is responsible for the effective and efficient non-medical operation of the clinic and overall clinic operations on a daily basis. The Clinic Manager leads the coordination of patient care by providing support for, but not limited to, appointments, training, and the management of non-medical clinic employees providing care. The Clinic Manager works alongside the Clinic Services Director for cohesive operations to provide a quality Optimization patient process, Case Management as well as comprehensive assistance and ongoing care education and support for our patients. (Approximately 65% patient care, 35% administration/office and staff management). The Clinic Manager will rotate on a set weekly schedule with a Patient Care Coordinator(s) for 2 patient care days and 3 patient support days.

SKILLS & QUALIFICATIONS:

  • A commitment to Jesus Christ as Lord and Savior with a heart for evangelism.
  • Full agreement with the Choices Women’s Clinic Mission, Statement of Faith, Statement of Principle, and policies and procedures of the clinic.
  • Bachelor’s degree preferably in a helping field or related experience equivalent.
  • Clinical Case Management experience.
  • Skilled in interpersonal communication, empathy for helping others, present, and an exceptional listener with problem-solving skills to provide emotional support.
  • Dependable, stable, and capable of following through on commitments.
  • Willingness, ability and confidence to implement and follow policies and procedures.
  • Experience as a volunteer advocate in a pregnancy center clinic or volunteer management experience.
  • Experience managing and supervising staff and/or volunteers.
  • Ability to multi-task, flexible to change and excellence, self-starter and work independently.
  • Experience and ability to lead, develop programs, and take initiative.
  • Provide spiritual leadership, to staff and the clinic volunteers.
  • Bi-lingual preferred and ability to work with a translation service.
  • Excellent computer skills and attention to details to strategize, analyze and run statistics. (Word, Excel, Power Point)
  • Excellent interpersonal, verbal and written communication skills and basic public speaking
  • Excellent organizational skills, can systemize.
  • Highly professional and maintains office professionalism/best practices at all times.
  • Maintains a positive attitude and works well within a team and openness to change and grow.
  • Able to work with diverse groups of individuals with challenging life situations and circumstances.
  • Able to maintain a high level of integrity and confidentiality with patient information.

RESPONSIBILITIES:

  • Patient Care
    • Understand and be in agreement with all clinic policies and procedures utilizing the Optimization process in place.
    • Perform patient care intake assessment on daily patient appointments and follow-up appointments.
    • Have meaningful spiritual conversations and a boldness to share the gospel and pray with patients when they are agreeable.
    • Provide support, education and resource information to patients according to the Optimization process.
    • Communicate with the medical staff about patient risk factors so that comprehensive care can be provided.
    • Coordinate with medical staff on directives for next steps for patient care.
    • Witness ultrasounds when needed.
    • Support and monitor the patient appointment process of Patient Care Coordinators to ensure excellent patient care and successful outcomes.
  • Case Management
    • Conduct biopsychosocial assessments; develop individualized care plans with measurable goals.
    • Coordinate referrals, and community resources such as but not limited to Life Skills, Parenting, Abortion Recovery and Embrace.
    • Execute a high level of problem-solving skills to bring resolutions and support to high at-risk patients.
    • Identify current barriers faced by patients and create solutions to overcome obstacles and meet needs through our educational care services and partnerships.
    • Vet new and existing referral services and organizations and help build community partnerships.
    • Meets on-on-one with a patient to explore needs, provide coaching regarding needs and work with patients to secure support.
    • Assist clients in applying for assistance when needed.
    • Process inquiries for ongoing care and educational services.
    • Facilitate patients securing placement in educational programs such as Life Coaching, Abortion Recovery, Life Skills and Parenting Classes.
    • Complete monthly birth stats calls and visits while documenting patient testimonies for patient success stories.
    • Provide case management documentation of all patient interactions in patient file.
  • Clinic Management
    • Assist Senior Clinic Manager in supervision and coordination of work flow of Clinic Receptionist and Patient Care Coordinators.
    • Working with women and men in high stress situations, including but not limited to unplanned pregnancy.
    • Lead in incident reporting, difficult cases, and corrective actions when appropriate.
    • Provide training, management and supervision of in-clinic support volunteers.
    • Work directly with the Senior Clinic Manager to maintain high quality of patient care, case management and follow up.
    • Calculate and report statistics to the Senior Clinic Manager of clinic/patient data on a monthly and annual basis.
    • Coordinate with clinic staff to provide monthly birth stats and closing out files.
    • Ensure department’s compliance with non-medical policies and procedures and existing laws.
    • Keep informed and current with affiliate organizations, trending issues and pro-life issues.
    • Oversight of ensuring all resources given to patients are periodically reviewed, kept organized and in supply for distribution.
    • Assist with the team in evaluating and developing programs in response to patient needs to improve services.
    • Attend, facilitate and participate in Parenting Classes, Abortion Recovery, Life Skills and other educational programs offered.
  • Public Relations
    • Provide tours and promote the ministry when needed.
    • Represent the ministry in churches and community initiatives when assigned and time permits.
    • Oversee and provide leadership for baby showers and work teams when assigned. (4-5 per year)
    • Attend and fully participate in the special events of the ministry: Walk (Spring) and Banquet (Fall).
    • Willingness to consider giving and promoting the ministry initiatives for funding the ministry.
